Volunteer Meeting will be sometime early August, will try to aim for a Friday as that is the best time for Blitzgear to hold the meeting. All volunteers and RS Event staff members should try to attend so we can go over tasks and game plans with Blitzgear, as they are the organizers this year.

Here's a quick run down of today's meeting with Blitzgear :
Staff and member volunteers required. As much as possible to make this meet go off without a hitch.
Morgan (Raiden) if you would be so kind, please head up the traffic team.
Traffic team will need to be onsite before club roll-ins, to mark off/setup club areas as well as RS booth and help with Blitzgear and sponsors.
there will only be ONE entrance, ONE exit. Traffic teams will need to collect data and waivers for each entry into the lot. Club roll in (reserve spots) will be cut off at 11am. Everyone else that comes afterwards will have to park themselves in whatever spots are available, as calmly and as courteous as possible. (no space hoarding or 2 car 1 spot type of stuff; space very limited.)
through out the meet staff will help with RS booth, promotions with E-store and giveaways, traffic calming in rotations, as well as patrolling. Unauthorized vendors should be reported to Blitzgear or myself as it is not permitted ( clause on waiver).
There will be food vendors, there will also be alot of games and prizes through out the meet. I can't say at this time who will be there and what sort of games and prizes (surprise!), but it will be grand. Staff members can partake in all activities as well, providing the primary function is to keep the meet organized and safe for vendors and members alike.
this will be one of the most memorable RS Summer meets to date if all the planning and participants pan out. Thank you again in advance for your dedication and effort in making this happen. According to stats, we are aiming for The Biggest Car Meet in Canada (no pressure).

Aye Aye Captain. i hope it goes smoothly and we don't back up onto westminster like we did the first year.
for the waivers.. i assume there will be someone at the head of the club that is rolling in that will have this printed off and signed? what if they don't have the waiver, what do we do then?
i can see someone pulling the "i didn't know we needed that" and trying to play the "i aint signin no stinkin paper" move
it's going to be mighty hard to turn away 15-20 cars if thats what we need to do if they didn't sign the waiver.

It's a shame we can't do an "eWavier" via an iPad that people just swipe their signatures on to keep the line rolling quickly as they drive in. But understood.

Nikko: great suggestion. I'll see if we can get it implemented in time. Will forward.

have the clubs been told there is a waiver that needs to be signed? could be a point of issue if people turn up to find out there is a waiver to sign

afaik when they reserved spots prior to August 02, they've been told about the waiver.

Hi everyone. after talking to Raid3n, it would be better to invest our energy to the Monday night Aug 19th volunteer staff debriefing. I will order pizza
So no more Saturday. Please make it to the Monday meeting.
Blitzgear and I will be answer all your questions and bring you up to speed on our progress with summer meet.
We will have printed shirts according to your requested sizes so we are working on the honour system that you won't be a "no-show" at our Monday volunteer premeet and RS Summer Meet
p.s. there was no answer from SiNzz so we are counting him/her out.

official traffic volunteer shirts are being processed this week.
About $200 for total cost with taxes in and all. We will incur costs.
We have your custom names printed so there's no going back!! :P
Joking aside, the traffic volunteers are quite key to the organization and operation of the meet, so we appreciate the work you guys will put into it. So thank you
[we are also looking for staff at DTP 2013, so we'll be headhunting for some reliable and hardworking volunteers to help out at our official RS booth!]

:eek5r: see y'all tonight? But I assume it will be necessary to wear the shirts at all times during the meet? A rugby jersey I bought with the Mazda logo came in early and I planned to wear that as well, once the main bulk of traffic duty is finished.

Hey guys, an emergency came up and I need to head out of town on thursday and won't be back until next week. I apologize for this however this means I will not be able to volunteer or attend this meet.

thank you for all the volunteers that attended this debriefing. As always if there are any questions please feel free to direct them towards myself or admins.

Team Lead - Raiden
Gate team - dbaz and cornering artist

Communications will be handled via Zello on smart phones. We will also have charges on hand to replenish your phones if needed.
You are all veterans and know what needs to be done. And I again thank you guys whole-heartedly for stepping up again, lending RS your strength, patience and time.

Hermes coloured RS shirts exclusive for Traffic Volunteers are in; Tommy will distribute accordingly tomorrow. Keep as your memorabilia. It has your names stamped on it.
The only other people wearing these shirts are myself, jACE, and the co-emcee, gABE. We do not have our names on them.
All other 2013 RS staff volunteers will have ID tags; traffic team does get (because you have these custom shirts).
enjoy and do your best out there team!!

Thanks again for your help this past summer meet. See the main thread for my thanks
Nowwwwww.... so let's debrief.. thoughts, comments, opinions
Successes/positives
Shortfalls/negatives
How to improve for next time
Energy
08-27-2013, 12:50 PM
Successes/positives
- having a printed out copy of the location of each car club and the roll in times.
- marking out club spaces with chalk
- using those mini pylons to mark out spaces
Shortfalls/negatives
- radios next time? Zello wasn't good enough so the people directing car clubs to their parking spots had to run around and shout a lot. It was confusing sometimes because we didn't know if the big group arriving was a club or just general
- general parking spaces close to the entrance were filled before the general parking further down when it should have been the opposite - might also be because of a lack of communication.
- the "one way" only didn't work. If we are going to do this again it should be made clear to all attendees (signs?)
That's what I can think of off the top of my head right now. Communication was the biggest issue for me. It was still really fun though, I can't wait for next year's meet.
Raid3n
08-27-2013, 02:36 PM
i agree with nick on zello being kind of a letdown this time.
as for the inefficient use of the general spots, i think this may have been due also to not having much man-power to cover as much space as i would have liked.
i liked the printed maps idea as well, but maybe more of them?
the mini-pylons were ok, but people kept driving over them instead of around them.. there were many a casualty.
